Quater Hour Daily Time Management

This is a time management form which I originally got from my coach from www.ladd.co.za I am ADD and I need to watch how I manage my time closely. This was created using the widget kit and Open Office Draw. Its still a work in progress, but hey! Isn't everything.

A daily planner divided into 15 minute segment. There are three columns, Personal, Business, and Actual. Start your day by visualizing and planning the day, using the Personal and Business columns, thereafter fill in what you actually did during your day. I also review the day at the end of the day and fill in an earnings matrix to follow my sales.

RACI matrix

RACI is a method to assign activities (functions or tasks) to functional areas (roles).
Acronym RACI stands for:

  • Responsible - This position is responsible that work is done (they are “doers”).
  • Accountable - position with responsibility and authority to approve/disapprove task or action
  • Consulted - person(s) who has to be consulted about task or action and who need to provide an input. They are “kept in the loop” by two-way communication.
  • Informed - person(s) who need to be informed about the task or action. They are “kept in the picture” by one-way communication.

Monthly Receipt Envelope

This is just another envelope for your receipts. Last year, I used the official receipt envelopes by Doug, but by the end of the year, I was quite tired of all the work it took to cut out, fold and glue them. I thought they were a bit too complicated, so one day, while playing with a piece of paper, I came up with this idea for folding and cutting. The form is just the weekly expense form I made last year for the template contest that you can find somewhere on this site. ;-) You can find the template HERE.

Putting it together:
If you are using scissors, it's only a couple cuts, and with a straight edge and X-acto knife it's even faster. Cut on the solid lines, and fold on the dotted lines.

Gluing is rather simple, too. I fold the sides, glue them, and then fold up the bottom flap, and glue that on the outside, but you could fold the sides, and glue the bottom flap on the inside.

To be really spiffy, you can take the two top corners, and, holding them together, cut a bit off (in an S-curve shape), so that, when it's all folded together, you have a notch in the back of the envelope. (If anybody wants help on understanding this, I can post an image on Flickr.)

Use:
Quite straight-forward. As you accumulate expense receipts, just toss them into the envelope. If you want or need to for business purposes, you can notate the expense on the front (or on the expense form I posted earlier--if I find a link, I'll add it here).

You can, of course punch these for adding to your binder, or for archiving purposes.

Both a PDF and OpenOffice.org drawing files are enclosed, so you can modify it if you wish.

One last point. I made this in A4 size, but I'm suspecting that US Letter should work OK, too.

DIY A5 AvantGarde 2pg/Month and 2pg/week

A set of scripts for generating:
- a one page yearly calendar
- 2pg/month planner
- 2pg/week planner

Can be easily internationalized to most European languages (e.g. French, German, Spanish, etc.)

Design criteria:

I wanted something to look 'modern' 'light' and 'open plan'

Some lines may come out too heavy especially on non postscript printers.
(the tones are easily adjustable for a LaTeX savy person)

- 2009 in English is already included as pdf

A5 Filofax Day Planner

I had some preprinted pages like this one in the 1980's in my Personal size Filofax. Having converted to an A5 binder a couple of years ago, I decided to recreate the page for A5 usage.

Basic Work Week: 2010

I work an 8-5 job, 5 days a week. Work related appointments / tasks / reminders are handled electronically in Outlook. However, I still like to have a basic overview of the working week down on paper. I originally started using chefz' Version of the Planner Pad: http://www.diyplanner.com/node/6597

That was still too detailed for me, so I have come up with my own Planner. I am sharing it in case anyone else is interested. I have attached the Excel file as well for those who want to edit it. The PDF covers the whole of 2010.

Weekly Calendar with Planning Page

In my calendars I like some kind of long range RADAR, typically in form of small monthly thumbnails.
Some weeks ago I saw a design, where the current month is like a ruler at the bottom of a left page and the next month is at the bottom of the right page. Based on my sweetheart calendar I made a proof of concept. The whole week is lefthand and planning space is on the right side. The current week is shaded in the ruler for accentuation.

In the first table you set the starting date in cell A1. The rest is dead simple. The only tricky thing is setting the margins for the individual printer. Or make a direct export to pdf and do the scaling with Adobe Reader.
